Job Description :
PURPOSE OF THE JOB
Provide a comprehensive financial and administrative service reporting to the Contract Support Leader. Salary £22-25k, based in Paddington. Mon-Fri 8-5.00pm.
MAIN DUTIES AND RESPONSIBILITIES
1 Understand, anticipate and deliver customer (internal and external) needs while building effective relationships. 2 Positively respond to both our internal and external customers through effective communication and personal accessibility. 3 Understand procedures and processes and operate them to the required standard. Examples of these are:
a) Site Inductions-assist site team with the delivery and updating of this essential H&S system. b) WIP/Debt-produce reports, analyse data and update with the assistance of the contract manager. c) Timesheet Process –collate daily information from three site teams and process in line with policies and timeframes. d) Monthly Billing-co-ordinate and produce in line with client and NMS requirements. e) Planned Preventative Maintenance-produce and amendment where necessary in line with on site requirements. f) Health and Safety
4 Operate helpdesk; including but not limited to; logging, distributing and closing down of reactive calls. Providing excellent customer service, by managing client expectations and ensuring information is communicated between engineering/handyman team and customers. 5 Raise, amend and facilitate purchase ordering processing for all three sites, ensuring adherence to policies and procedures. 6 Perform with an understanding of business requirements and changes, and ensuring continuous improvement. 7 Actively participate in a diverse and effective team. 8 Convey messages and ideas clearly and openly. Involve people and influence decisions. 9 Produce Monthly reports and contract review documentation where necessary.
PERSON SPECIFICATION
Education [Essential] A good basic education is essential, with at least GCSE passes in Maths and English or equivalent. [Desirable] Higher educational qualifications to ‘A’ level/HNC/D or degree would be beneficial or equivalent. Training [Essential] Good PC based skills, with experience in Word/Excel and Outlook – intermediate to advance level. [Desirable] PowerPoint and Access. Experience [Desirable] 3 years experience in a similar role. [Desirable] Previous experience of a customer-facing role using operating systems such as Dynamics AX or Concept software. Some financial / accounting experience would be an advantage. Aptitudes Must demonstrate a strong sense of customer focus. Excellent verbal, and good basic standard of written, communication skills. Self-motivated and systematic. Results/ task orientated, attention to detail and accuracy. Excellent time management and organisational skills. Commitment to continuous improvement. Ability to work as part of a team, as well as independently. Character Committed to customer service delivery. Reliable and committed. Confidential and discrete approach.
